The final step in a research activity is compiling a report. Even though the quality of the research and models built is good, success is not complete without reports. Reports are a medium of communication between the compiler/implementing agency and related parties. Reports are very important for policy makers. The report also reflects the author's experience and is tailored to the target audience.

Basic Concepts of Report Writing

Report writing is the result of a series of activities arranged logically and chronologically to be accounted for. Although writing forms and techniques vary, the basic principles are the same, considering the problem, audience, and purpose of the writing. The purpose of an evaluation report is related to its use, both formative (to improve the program) and summative (to assess the usefulness of the program). Evaluation reports provide information and assessments to interested parties, including program users, resource allocation decision makers, and other interested parties.

Principles of Report Writing

Logical, the explanation in the report must make sense.

Systematic, report preparation must be orderly and sequential.

Complete, the report must include the necessary data and facts.

Be clear, the language used must be easy to understand and unambiguous. 5. Correct/Accurate, the report must contain correct data and facts.

Systematic, reports must be well organized and easy to follow.

Objective, the report must be neutral and impartial.

Be on time: being on time is absolutely necessary

Concise, only using the main things briefly.

Principles of Evaluation Report Writing Procedure

Evaluation Problem: Explains the problem that is the focus of the evaluation, including the problem formulation, background, objectives and location where the evaluation is carried out. Evaluation Methodology: Discusses evaluation methodological procedures, including approaches, evaluation stages, data collection techniques, and data analysis. The differences between program evaluation and research are also outlined.

Evaluation Report Components: Includes evaluation area coverage, evaluation design, data collection, triangulation, data analysis, evaluation results, conclusions and recommendations. Each component is explained in detail to ensure a comprehensive and quality evaluation report.

Evaluation Results: Contains data description, data analysis and discussion, as well as recommendation analysis. Each aspect of the evaluation results is analyzed and discussed to provide an in-depth understanding of program evaluation.

Conclusions and Recommendations: Presents the conclusions drawn from data analysis and alternative recommendations proposed. The bibliography is included as a reference for reference materials used in preparing the evaluation report.

Evaluation Report Writing Format

Initial section: Contains clear activity titles, foreword, table of contents, list of tables, and list of figures to provide a comprehensive overview of the contents of the report.

Main Part: There are no fixed standards, but generally consists of an introduction containing background, problem statement, objectives and benefits of the evaluation; literature review to support the theoretical framework; evaluation methods that include hypotheses and research design; evaluation results are analyzed and discussed; as well as conclusions that present results and suggestions.

Final Section: Usually contains a reading list, attachments, and others if needed. Report Writing Structure.

Report Writing Structure

Consists of several chapters and sub-chapters which can be identified into three main parts: introduction, main discussion, and conclusion. The introduction explains the background, problem theme, and evaluation approach. The core of the discussion starts from a general discussion to a more specific discussion, with library sources as the basis. The conclusion summarizes the evaluation findings and provides suggestions.
